Job Description:
The Coordinator, Programs is responsible for working directly with each Program Manager and team lead within the Risk and Customer Markets team within the Office of Member Engagement to ensure non-content-related tasks are completed for each conference and school. The position is responsible for all aspects of administrative and budget support for the retail/lending/marketing vertical. This position serves to help program managers increase efficiency and assist in making all events more successful. Position will help in managing details related to the retail/lending conferences and schools, to include Agricultural Bankers Conference, Bank Marketing Conference, American Mortgage Conference, Commercial Lending School, Bank Marketing School, and other potential related events and group initiatives.
These tasks include several tactical components to ensure the necessary procedures and steps in place for each event are accomplished on time, escalation issues are handled appropriately, and follow up on outstanding items is promptly addressed: coordinate with registrars to receive the product ID and related budget codes for each group event; create the program online and within the app for each meeting, school, and/or conference; and develop, assemble, and distribute communications and materials shared with attendees, speakers, and faculty prior to each event.
Important components of this position include knowledge of ABA’s contract management system and budgeting process, compliance with speaker release management procedures, and coordination of assembly and distribution of event survey results.
This position will be the first point of contact for event inquiries after 1-800-BANKERS and for individual inquiries from students, attendees, speakers, and school faculty to answer non-content-related questions.
Position will attend team meetings, providing updates as necessary, which could include creating customized PowerPoint decks as required for board meetings or other special meetings, with input from Program Directors and/or VP.
Key Responsibilities:
Data entry to comply with event contract and speaker release management.
Coordinate and deliver all aspects of event speaker management – speaker kits, speaker contracts, speaker tracking, documents retention.
Budget and expense management, to include: coding and processing of invoices and expense reports, tracking of expenses in budget tracking sheets, and managing process for event expenses.
Coordinate with registrars to receive the product ID and related budget codes for each group event. Maintain and update the list each Fiscal Year.
Create and prepare student binders and communications to conference attendees and speakers leading up to an event.
Be first point of contact for program inquiries after 1-800-BANKERS and for inquiries from students, attendees, speakers, and school faculty to answer non-content-related questions.
Coordinate sending the overall survey with survey manager and serve as point of contact for email address for event overall survey.
Entry of event program for online and mobile app platforms.
Ability to work collaboratively with internal/external customers
