The purpose of this position is to facilitate the production of high-quality trauma education by providing project support for the education design and development processes, maintaining project schedules and documentation, ensuring effective knowledge management, and by building relationships with other ACS departments and faculty. The Project Coordinator will assist with Accreditation Council for Continuing Medical Education (ACCME) compliance and quality assurance measures for all Trauma Education products and services.
This exempt position will report to the Manager, Instructional Design in the Division of Research and Optimal Patient Care.
Project Coordination - Education Design and Development. Provide administrative and project support for the development of online and in-person Trauma Education Programs, including eLearning content, print publications, curriculum development, live conferences and courses, webcasts, podcasts, needs assessments, and program evaluations. Assist the Manager, Instructional Design, with all content development projects by: working with other departments, faculty, and outside vendors; developing and managing detailed work plans and status reports to ensure educational programs are completed on time, delivered to high professional standards, and within budgeted/allocated resources; using predesigned production templates to enter and update educational content, including images/multi-media formatting, and text.
Quality, compliance and reporting - Continuing medical education (CME)/Continuing education (CE). Support Manager, Instructional Design in development of policies and staff training for ACCME compliance. Coordinate and maintain documentation processes and ensure compliance for all CME/CE approved activities in Trauma Education, including pre-activity documentation, applications for credit, post activity submissions, and data and reporting requirements. Collect, organize, and track project-based deliverables including permission agreements, faculty disclosure information, activity specific ACCME documentation, project progress, quality control steps and launch protocols.
Customer service and committee support - Provide excellent, professional customer service and support to learners, faculty, subject matter experts, work groups and committee members. Answer calls and emails in response to inquiries about Trauma Education projects and programs in a timely manner. Schedule project-based work group and committee conference calls. Manage invitations, meeting notes, action items, and timelines. Serve as a customer and committee/work group resource for Trauma Education Projects and Programs.
Quality operations and program development - Collaborate with all members of the Trauma Education Team to provide high quality learning, program administration and program support to learners, faculty, work group and committee members, and COT leadership by: sharing knowledge and resources with team members; actively seeking opportunity to cross-train with colleagues and provide operations team and program support team with project status updates and new program training; supporting Manager, Instructional Design in development of a robust evaluation tool for all programs to be used for continuous program improvement. Support the Education Department with trouble-shooting online education functionality in response to end user inquiries.
Other expectations - Contribute enthusiastically to an environment of continual performance improvement, team collaboration and service to improve care of the injured patient, executed in accordance with the ACS values. Seek and promote areas of integration and alignment within Trauma Programs and across ACS activities. Pursue and welcome opportunities for evolution of responsibilities and growth in position. Create and maintain written organizational processes and procedures in support of all projects and activities handled in this program area.

Required Education and/or Experience:
Bachelor’s degree from an accredited college or university required.
Minimum of two years of professional office experience with increasing responsibility is required.
Excellent communication skills (verbal and written) necessary to effectively interact with all levels of organization.
Strong working knowledge of Microsoft Office Products (Outlook, Word, Excel, and PowerPoint) required.
Familiarity with the process for testing software or online courses for functionality preferred.
CME (Continuing Medical Education) accreditation experience preferred.
Attention to detail and organizational skills.
Capable of providing excellent customer service.
Must be able to multi-task.

Self-motivated and able to work independently and as a member of a team.
Ability to plan and prioritize workload and meet deadlines.

Experience in Associations, professional services, healthcare, and/or education is a plus.
Physical/Work Environment: Fast paced with significant people interaction. No lifting over 20 pounds, minimal reaching bending and stooping. Performs work in a normal office environment with long hours in front of the computer.
Other Necessary Requirements: Minimal evening or weekend duties may be required. Minimal travel for activities such as out of town meetings is required.
