Conference Meetings and Events Specialist
As the Conference Meetings and Events Specialist, you will manage all aspects related to the program committee, conference program, and speaker management of events/conferences as assigned within IFMA. You will ensure events are executed to IFMA standards and continuously improves quality.
More specifically, you will:
- Develops schedule at a glance for all conferences
- Develops and manages a program committee
- Creates and manages an open call for presentations
- Works closely with Director of Events on content development
- Identifies and contracts keynote and power speakers
- Manages speaker and session updates online, in print and in various platforms
- Develops speaker communications and deliverable timelines
- Responsible for data entry and updates for all aspects of the program in event management system
- Oversees the Continuing Education Units (CEU) process for conferences/speakers
- Recruits and manages conference session moderators, room hosts, and onsite event personnel
- Communicates and coordinates with the marketing department to effectively promote IFMA event programs and manages the on-site session grid and reader boards
- Processes conference follow up, including invoicing, debrief, surveys, thank you letters, archiving, and related activities
- Manages all aspects of virtual sessions, including pre-recorded, live and semi-live sessions
- Creates and manages session and speaker content for conference mobile applications for conferences
- Works with local chapters to secure volunteers and content
- Aids with all IFMA conferences and events, including but not limited to logistics, programming, contracting, budgeting, and execution
- Performs other duties as directed by Director, Events
Education/Experience:
- Bachelor’s degree or equivalent from an accredited college or university one to two years of experience in conference program planning or similar.
- 2-4 years office experience.
- Non-Profit experience preferred.
- Knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), and Internet navigation software.
