Senior Manager, Governance (work remotely from home)
Reporting directly to the CEO of the Society for Cardiovascular Angiography and Interventions(SCAI), you will own the support for the board of trustees and executive and nominating committees, serve as the staff liaison to two committees (DEI and past presidents), and manage four councils. SCAI is the leading medical society for interventional cardiology professionals. We have experienced tremendous growth over the past 10 years and today represent more than 5,000 members across 75 countries. The senior manager of governance is key to the high-level functions of SCAI.
Supporting the CEO, you will manage the entire process for leadership nominations and committee and council appointments. You will work with the executive committee and committee and council chairs to determine timelines, call for applications, generate reports, review applications, and facilitate discussions that drive toward decisions. You will provide administrative and operations support for the board, committee, and council meetings including meeting scheduling and logistics, preparation of board meeting materials, coordination of communications, rosters and reporting, and other activities.
Our board and committee members are busy professionals and will rely on you to be organized and keep everything running on schedule, consistently following up on agendas, issues, and tasks. Support the board of trustees, executive committee, and nominating committee. Manage the call and meeting schedules, support agenda and materials development/distribution, ensure the collection/editing/distribution of committee/council goals, send text reminders for upcoming calls, and draft, coordinate, and maintain all minutes.
Serve as staff liaison to the DEI taskforce and the past presidents committee. Work with the committee chairs to develop and drive agendas and activities, manage and schedule calls, develop and distribute materials, provide background support for activities, draft goals and reports, send text reminders, and draft, coordinate, and maintain all minutes.
Manage councils (Congenital Heart Disease Council, Ischemic Heart Disease Council, Structural Heart Disease Council, and Vascular Disease Council). Manage the call and meeting schedules, support agenda and materials development/distribution, ensure the collection/editing/distribution of council goals, send text reminders for upcoming calls, and draft, coordinate, and maintain all minutes. Drive the nomination process – draft timeline, manage communication needs through internal processes, prepare the call for nominations, create report of nominee applications, schedule committee calls, develop background materials for reviews, vet candidates, develop the member election survey, and coordinate announcements including website updates.
Drive the committee appointment process. Draft timeline, manage communication needs through RACI, prepare the call to service application process, collect all materials and prepare reports for the president-elect, assist president-elect in research for appointment process, gather input from the staff and committee chairs, communicate appointments and sunsets, update information for the website and in the AMS, draft and email all appointment letters, create and maintain an updated roster in the database, and schedule chair/co-chair orientation calls.
Support the President’s Orientation and Committee/Council Orientation. Schedule meetings, coordinate with internal departments to set deadlines and gather supporting materials, proof materials for final PowerPoint and PDF documents of supporting items.
Coordinate with Protech database managers to develop the functionality needed for the governance committee appointment and nomination processes.
Manage the President’s email inbox.
Administrative & financial support for supervisor
Utilizing Adobe Sign, manage all CEO-signed contracts, keeping a master list from Adobe Sign and elsewhere, and file appropriately on SharePoint.
Manage all governance files, keeping them filed appropriately on SharePoint.
Organize, schedule, and provide support for all staff meetings and events.
Draft and finalize correspondence.
Coordinate travel itineraries, related arrangements, activities, and expense reimbursements.
Serve as part of first-tier 800-line support for the phone system.
Bachelor’s degree and knowledge of nonprofit governance.
Demonstrated experience updating a database. Proficiency with association management systems preferred.
Experience successfully interacting with physicians, healthcare professionals, and nonprofit leadership preferred.
Ability to serve on frequent weeknight calls and willingness to travel 3-5 times annually.
