WSWA seeks coordinator for its federal affairs team located in Washington, DC. This position serves as operational and administrative support for WSWA’s Federal Government Affairs department. This position involves three principal areas of responsibility: (i) WSWA-PAC administration, (ii) event management (iii) federal affairs administration This position is the hub of a collegial, high energy, fast paced, and collaborative governmental affairs department. The ideal candidate is personable, flexible, highly organized, and efficient with an excellent ability to multitask and prioritize. Job Functions WSWA-PAC Administration - Manage contributor payroll deduction, collect and enter PAC receipts into the VOCUS database, bank account reconciliation, collect and update PAC contributor information in VOCUS, monthly bank deposits, and Federal Election Committee compliance (lobbying disclosure reports);
- Create and manage WSWA-PAC’s Election Cycle Budget within VOCUS;
- Process and mail campaign contribution checks for an average of over 250 candidates each election cycle;
- Prepare analytics reports for benefit of WSWA membership and Federal Team;
- Coordinate and attend all fundraising events on behalf of WSWA;
- Update political contribution and congressional contact information;
- Administer and assist in VOCUS e-advocacy campaigns;
- Manage PAC mailings.
Event Management - Plan and execute WSWA’s annual legislative fly-in conference. This includes organizing over 100 congressional appointments for association members, preparing all briefing and event materials, and coordinating WSWA staff assignments/responsibilities;
- Coordinate WSWA events and branding initiatives;
- Coordinate in-kind product donations and sponsorships for 30+ events annually;
- Manage annual product donation/sponsorship budget of $186,000;
- Inventory and manage association’s large supply of alcohol for donations;
- Help plan, prepare for and execute fundraisers and meetings;
- Track all department events/action items and enter them into project management software
- Conference travel, as needed.
Federal Affairs Administration - Prepare agenda for weekly federal affairs meeting;
- Coordinate Federal Affairs communications with consultants, industry partners, and association membership;
- Manage publication and electronic service subscriptions; Process incoming invoices;
- Provide administrative support for Executive Vice President, Government Affairs;
- Schedule internal/external meetings and political activities for Federal Affairs/Government Affairs teams;
- Update and coordinate individual, department and association calendars;
- Serve as a departmental liaison to the Executive, Finance and Administration, Communications and Public Affairs, Legal, and Meetings and Conventions departments;
- Assist other departments, as the need may arise.
