This is a new position, in a role that is expected to grow as you develop the program. You will need to be self-directed, take charge and propose strategy but as in all small staff organizations you will roll up your sleeves for everyday tasks. Job Summary: This part-time position has primary responsibility for coordinating the AANP’s Annual Convention, and processing applications for CE accreditation. The Coordinator supports and ensures top quality customer service to our convention exhibitors, participants and volunteers. Responsibilities require exceptional customer service skills and thorough knowledge of association activities, agenda, and events. Position requires individual to be highly skilled at professionally representing the association to all internal and external customers. The Coordinator will also build out a new professional development and continuing education program that positions the organization as a must-have membership. The program will include live and recorded webinars, a new online CE store, and collaborating with other organizations on inter-professional educational opportunities. The position is expected to grow as the program is developed. Key Responsibilities: Meetings & Event Management - Responsible for coordination of the AANP’s Annual Convention exhibit hall and customer support for ~100 exhibitors before, during and after the Convention. Includes coordinating with general services contractor, booth sales, booth assignments, exhibitor prospectus distribution, signage, on-site management of exhibit hall, and coordinating with other AANP staff in development of printed Convention Buyer’s Guide.
- Serves as primary on-site event coordinator for all convention logistics of the AANP’s Annual Convention, including attendee registration, managing on-site registration desk and event volunteers.
- Coordinates the preparation of event materials such as participant name badges, information packets, exhibitor materials, event attendee communication, event evaluation surveys, etc.
- Contributes to pre and post event attendee communication, including conducting event/meeting evaluations and programming/updating the event app before and during the convention.
- Provides administrative support to the volunteer Convention Committee which selects speakers, advises on program, venue and activities, and provides quality control for program content. Schedules/coordinates committee meetings, conference calls, agendas and maintains/distributes meeting notes.
- Identify and apply for all necessary naturopathic physician CE and other professional CE that is deemed necessary.
- Disseminates CE certificates to Convention attendees post-event and maintains appropriate records of participation.
- Serves as active member of team activities related to marketing of association events.
- Provides upbeat and high-quality customer service to conference attendees and exhibitors throughout the registration process and on-site.
- Serves as primary staff liaison to the Naturopathic Medical Student Association (NMSA), which co-locates its conference with the AANP’s, to coordinate conference planning, schedule synchronization and other logistics.
- As with all positions on a small team, contributes to team projects and office coverage and other responsibilities, as needed.
Continuing Education Accreditation - Reviews and processes applications from external organizations seeking CE accreditation for learning activities.
- Communicates with CE applicants to advise on quality standards, resolve conflicts of interest with speakers, and maintain adherence with CE accreditation guidelines.
- Develops a pool of physician volunteers who will assist and advise in review of applications to ensure the highest quality standards.
- Issues continuing education certificates for all successful CE applicants and maintains accurate records of all CE applicants and recipients.
- Seeks opportunities to collaborate with other professional organizations desiring CE accreditation for naturopathic physicians.
Professional Development and Education Program - Develops new professional development webinar series that supports physicians in areas of marketing, coding, contracting, and the general business of running a practice.
- Coordinates production of bi-monthly continuing education webinars, including recruiting and communicating with speakers and webinar host/producer.
- Consults with physician volunteers to identify learning gaps and opportunities to develop CE and professional development content that is unique, dynamic, and positions the AANP as a leader in the field.
- Builds and manages an online CE store which will house all of AANP’s recorded CE content and serve as both a member benefit and revenue source for the association.
- Coordinates with other staff on aggressive marketing of association educational opportunities.
- Seeks to collaborate with other professional organizations in learning opportunities.
Other duties as assigned - General website content updates.
- Support the coordination of other major Association events, such as lobby day or regional affiliate events.
- Respond to consumer and physician phone inquiries.
- Other duties as determined necessary by Executive Director.
