The Conference/Meetings/Sheriff’s Leadership Institute Assistant is responsible for providing support to the Manager - Conference /Meetings/SLI. This is accomplished by implementing a detailed approach to project management, drafting and editing documents and written communications, directing all Audio/Visual technology at all meetings, assisting with the logistics and training coordination at conferences, and managing multiple project deadlines. This position reports to the Manager – Conference/Meetings/SLI. Essential duties include, but are not limited to: Email and Correspondence - Drafts emails and correspondence on behalf of the Conference/Meetings/SLI department, as well as the Executive Vice President
- Edits and sends email notices for Association conferences and training events
Conferences - Assists the Conference and Meetings Manager in the planning and execution of the Association’s Annual Training Conference, as well as the Spring and Fall Meetings
- Serves as the on-site contact and coordinator for hotel, caterers, and additional vendors at all events
- Serves as the lead Audio/Visual point of contact at all meetings and events
- Primary contact for event training manual production for Spring Meeting, Annual Training Conference, and Fall Meeting
- Compiles, edits, and formats training course materials from all trainers for Association conferences and training events
- Prepares materials, compiles resource materials, notebooks, and information packets for committee meetings
- Assists the Conference and Meetings Manager in compiling Banquet Event Orders (BEOs) and facility contracts
- Liaison to Business Development regarding the coordination of Corporate Partner and Sponsor activities at Spring Meeting, Annual Training Conference, and Fall Meeting
Meetings: - Primary contact for all Association committee meetings, internal and external, and on-site contact for all committee meetings regarding logistics
- Prepares materials, compiles resource materials, notebooks, and information packets for committee meetings
- Attends regional training events as on-site logistics coordinator and Audio/Visual point of contact. This includes the Legislative Update training classes, State Misdemeanant Confinement Program classes, Sheriffs’ Leadership Institute, Legislative Day, the Governor’s Highway Safety Program, and other regional training events as assigned
Miscellaneous: - Recommends changes and enhancements to improve event quality and customer satisfaction
- Travels to and works onsite at association meetings and conferences
- Coordinates with accounting regarding reconciling receipts following all events, including trainer related payments and reimbursements
- Assists co-workers as necessary and performs additional duties as assigned
Supplemental Information: The work is typically performed in an office while sitting, standing, or stooping. The employee occasionally lifts light and heavy objects, weighing up to 20 pounds. |
